Why This Matters

Dispatching, invoicing, customer history, pricebook, agreements, reporting — it all runs through one system. Every metric in every other section of this operating system depends on having a platform that actually tracks it.

Picking the wrong one is expensive to fix. Migration costs 2–3× the subscription itself — setup, data transfer, training, and the productivity drop during the switch. Most contractors who switch describe the process as "painful" and recommend doing it in the off-season with a 90-day transition window (BDR, Out of the Box Technology).

The Big Five for HVAC

ServiceTitan

Best for: $2M+ revenue, 8+ techs, companies that need deep reporting and marketing tools.

Pricing: $245–$500 per tech/month. Implementation: $5,000–$50,000+. 12-month minimum. A 10-tech company typically pays $3,500–$6,000+/month all-in during year one.

Strengths: Deepest reporting and KPI dashboards. Pricebook Pro with auto-generated Good/Better/Best options. Marketing Pro ($500/month add-on) with call tracking and source attribution. Membership billing with automated renewals. Phone integration. The platform most coaching programs build their training around.

Drawbacks: Cost — Reddit users report price increases from ~$3K to ~$10K/month after initial contracts. Onboarding takes 4–8 weeks. Only 50% of G2 reviewers feel positively about pricing — the lowest of the big three.

Housecall Pro

Best for: $500K–$3M revenue, 3–10 techs, companies that need solid dispatching without enterprise complexity.

Pricing: HVAC-specific: Basic $79/month, Essentials $229–$299/month, MAX $349–$649/month. Additional users $75–$100/month each. Payment processing: 2.59–2.99% per transaction.

Strengths: Covers 80% of what ServiceTitan does at roughly 40% of the cost. One-tap invoicing, GPS tracking that cuts admin time ~40% (ContractorPlus). Strong online booking. Built-in payment processing with next-day deposits. Service agreement management.

Drawbacks: HVAC pricing is significantly higher than advertised general pricing. Processing fees add up — $239 on an $8K install at 2.99%. Basic plan lacks QuickBooks sync and GPS. Reporting less deep than ServiceTitan.

Jobber

Best for: Under $1M revenue, 1–5 techs, companies that want a clean system that does the basics well.

Pricing: Core $39/month, Connect $119/month, Grow $199/month. Team plans: Connect Team $169/month, Grow Team $349/month. Plus $599/month for larger teams. 14-day free trial available.

Strengths: Easiest to learn — up and running in a day, not weeks. Best mobile app. Strong scheduling. Client hub for online quotes, payments, and requests. 64% of G2 users feel positively about pricing — the highest satisfaction rate of the big three.

Drawbacks: QuickBooks sync frequently reported as unreliable (G2, Reddit). Limited pricebook — no built-in flat-rate engine. Reporting is basic. Agreement management limited. Outgrown quickly — companies at $1M–$1.5M often find themselves needing features Jobber doesn't have.

FieldEdge

Best for: Established shops already on the platform, companies that prioritize QuickBooks integration above all else.

Pricing: ~$100/month per office user, ~$125/month per field tech, plus $500–$2,000 setup. A 5-tech operation: $800–$1,200/month. Add-ons push costs 60–80% above base.

Strengths: Deepest QuickBooks integration in the market — real-time two-way sync. Coolfront flat-rate pricing built in. Long track record (Desco roots, 45+ years). 14% market share — second to ServiceTitan at 18%.

Drawbacks: Mobile app is frequently reported as slow. Interface feels dated. Pricing is opaque. Newer companies increasingly choose Jobber or HCP over FieldEdge.

Workiz

Best for: Multi-trade companies (HVAC + plumbing + electrical), budget-conscious operations.

Pricing: $225–$325/month for up to 5 users. Additional users $55–$65/month. Built-in phone $100/month extra. A 7-person team: $755–$860/month.

Strengths: Built-in VoIP phone system with call tracking. Good for multiple trades from one operation. Equipment tracking on higher tiers. Competitive pricing.

Drawbacks: Less HVAC-specific than ST or HCP. Smaller user community — fewer templates and peer support. Coaching programs don't build curriculum around Workiz.

Migration rules

  1. Never switch during peak season. October–February is the migration window for Florida.
  2. Budget 2–3× the subscription for year-one migration costs.
  3. Plan 90 days: Days 1–30 audit and migrate data. Days 31–60 configure and test. Days 61–90 parallel run, then cut over.
  4. Clean your data first. Dirty data creates problems that last for years.
  5. Train before you go live. 8–16 hours for office team, 4–8 hours for field techs (BDR).

Do You Need a Separate CRM?

Probably not. Every FSM platform includes customer management — contacts, job history, equipment tracking, communication logs. For most companies under $10M, the built-in CRM is sufficient.

A separate CRM (HubSpot, Salesforce) makes sense only with: a dedicated sales team separate from techs, multi-location operations, outbound marketing at scale, or a commercial division with long sales cycles. If none of those apply, adding HubSpot on top of ServiceTitan is adding complexity without a clear use case.

Common Mistakes

  1. Buying ServiceTitan at $600K revenue. Most features go unused. The monthly cost eats margin you need for growth.
  2. Switching mid-season. July is not the month to learn new dispatch software.
  3. Choosing based on features you'll never use. Match the platform to the next 18 months, not the 5-year dream.
  4. Not migrating data properly. Customer records and equipment history are the most valuable data in the business.
  5. Not training the team. Untrained techs won't use it. Untrained office staff will run it wrong.
  6. Ignoring processing fees. 2.5–3% on card transactions = $35,000–$42,000/year on $2M with 70% card payment.
  7. Running two systems too long. 90-day parallel max, then commit.
